The way to avoid a WhatsApp ban is to message people who expect to hear from you, send them what they asked for, and stop when they say so. Bans almost always follow a pattern of behavior: unsolicited messages, the same text sent to long lists, and recipients blocking or reporting you. There's no trick that makes spam safe, and nothing on this list is meant to get around WhatsApp's rules.

This is a prevention checklist for teams that share a business number, on the WhatsApp Business app or the API. If your number is already restricted or banned, start with [what to do when WhatsApp limits new chats](https://haber.chat/blog/whatsapp-limited-new-chats) or [what to do if your business number is banned](https://haber.chat/blog/whatsapp-business-number-banned).

## Why business numbers get banned

WhatsApp's Terms of Service don't allow bulk or automated messaging to people who didn't ask for it. Its systems look at patterns, and most of all at how recipients react. The common triggers:

- Messaging many people who never contacted you and don't have your number saved.
- Sending the same message to a long list in a short time.
- Recipients blocking you or reporting your messages as spam.
- Using modified apps such as WhatsApp Plus or GB WhatsApp.
- A new number that suddenly starts messaging strangers in volume.

WhatsApp doesn't publish exact thresholds, so there's no "safe" number of messages per day. Ten unwanted messages that all get reported can do more harm than a thousand that people were waiting for.

## The checklist

### Before you message anyone

- **Get consent you could show someone.** A form with a WhatsApp opt-in, a checkbox at checkout, or the customer messaging you first. A purchased or scraped list is never consent.
- **Be clear about what they'll get.** "Order updates" and "weekly offers" are different promises. Send only what people signed up for.
- **Let customers start the conversation.** Click-to-chat links, QR codes on your site and packaging, and "Message us on WhatsApp" buttons bring in chats that are wanted from the first message.
- **Complete your business profile:** name, logo, description, address and hours. People are less likely to report a business they recognize.

### When you send

- **Make every message relevant to the person.** Their order, their appointment, the thing they asked about.
- **Send at a sensible pace and at sensible hours.** Large batches at midnight look like spam because they usually are.
- **Give an easy way out.** Tell people how to stop messages, and honor it straight away. Someone who can't unsubscribe will block or report you instead.
- **Clean your list.** Remove contacts who haven't engaged in months.

### Rules for the team

- **Decide who may start new chats.** Replying to customers is low risk. Cold outreach from several agents at once is how shared numbers get restricted.
- **Use shared, approved wording** for messages your team sends often, so nobody improvises a hard sell.
- **Use only the official WhatsApp or WhatsApp Business app** on the phone that holds the number.
- **Take warnings seriously.** A temporary limit on starting new chats is an early warning. Stop outreach, find the cause and fix it before the next send.

### With a new number

- **Start with normal conversations.** Use the number with customers who contact you before sending anything at volume.
- **Grow gradually.** A number with a history of replies and saved contacts looks very different from one that messages hundreds of strangers on day one.

## On the API: quality rating and messaging limits

If your number is on the official WhatsApp Business Platform, Meta measures quality more formally. According to [Meta's messaging limits documentation](https://developers.facebook.com/documentation/business-messaging/whatsapp/messaging-limits), checked on October 8, 2026:

- Messaging limits cap how many unique people your business can message outside a customer service window in a moving 24-hour period.
- New business portfolios start at 250. Verifying your business, or sending 2,000 delivered high-quality messages to unique users within 30 days, raises it to 2,000.
- From there, limits can rise automatically to 10,000, 100,000 and unlimited, if your messages stay high quality and you use at least half your limit.
- Limits are shared by every number in the business portfolio, so one careless number affects all of them.

Blocks and reports lower your quality, and low quality stops your limit from growing. The same habits that prevent bans on the app keep your rating healthy on the API.

## If you need to reach many people

Some businesses really do need to start conversations at volume: appointment reminders, delivery updates, alerts people signed up for. For that, use the official API with approved message templates. It's built for volume, with Meta's limits and per-message pricing. Our [WhatsApp Business app vs API](https://haber.chat/blog/whatsapp-business-app-vs-api) comparison explains when it's worth it.

A QR connection to a team inbox, such as HaberChat's, is not an official Meta integration, and WhatsApp's anti-spam rules apply to it in full. It's built for conversations with customers and leads, not cold campaigns. HaberChat lets you lower the number's sending speed, and our help center has a longer list of [best practices to avoid bans](https://app.haber.chat/help/ban).

## Signs you're heading for trouble

- Fewer replies and more "who is this?" messages.
- Customers asking how you got their number.
- Messages delivered but not read, across a whole list.
- A warning that you can't start new chats for a while.

Any of these is a reason to stop outreach and review who you're messaging and why, before WhatsApp decides for you.

## Frequently asked questions

### What gets a WhatsApp Business number banned?

Mostly unsolicited or bulk messages that recipients block or report, plus using modified apps such as WhatsApp Plus or GB WhatsApp. WhatsApp looks at patterns and how people react, not a fixed message count.

### How many messages can I send per day without getting banned?

There's no safe number. WhatsApp doesn't publish thresholds for the app. On the API, Meta sets messaging limits, starting at 250 unique people per 24 hours for new business portfolios outside the customer service window.

### Does using a team inbox get my number banned?

Not by itself. How you message is what matters. A QR connection isn't an official Meta integration and WhatsApp's anti-spam rules apply to it in full, so use it for conversations with customers, not cold bulk sends.

### How do I warm up a new WhatsApp Business number?

Use it for normal conversations with customers who contact you first, and grow volume gradually. Don't start by messaging long lists of people who've never heard from you.
