To track your team's WhatsApp response times, you need two things: a clear definition of what you're measuring, and a way to see who replied and when. The WhatsApp Business app gives you neither, because every linked device replies as the same account. A team inbox with reports, or your own log built from webhooks, does.

The short version:

- **Measure first response time** (how long a customer waits for the first human reply) and **time to resolution** (how long until the chat is closed).
- **Give every chat an owner**, so a slow reply has a name attached to it.
- **Use a tool that records it for you.** Counting by hand works for a week, not for a quarter.

## Which numbers to track

Most teams only need four. Track them per teammate and for the team as a whole.

| Metric | What it tells you | How it's measured |
| --- | --- | --- |
| **First response time** | How long a new customer waits before a person answers | Time between the customer's first message and your first reply |
| **Average response time** | How quickly the conversation keeps moving | Average gap between each customer message and the next reply |
| **Time to resolution** | How long it takes to finish the job | Time from the first message until the chat is marked resolved |
| **Unanswered chats** | Who is waiting right now | Open chats where the last message came from the customer |

Two tips make these numbers more honest. Look at the median as well as the average, since one chat left overnight can drag the average far off. And decide whether automatic replies count. They shouldn't: an instant "thanks, we'll be right with you" doesn't answer anyone's question.

## Why the WhatsApp Business app can't do this on its own

The app lets one account run on a phone plus up to four linked devices. Every reply, whichever device sends it, comes from the same business account. You can see that the business answered, but not which person did, and nothing adds up how long each customer waited.

That's fine for one or two people. Once three or four teammates share a number, chats fall between the cracks: everyone assumes someone else has it. We cover the setup options in [how to share one WhatsApp Business number with your team](https://haber.chat/blog/share-whatsapp-business-number-with-team).

## Option 1: a weekly spot check (free)

If you're not ready for new software, sample your chats by hand once a week.

1. Pick 20 chats that customers started in the past week.
2. For each one, write down the time of the customer's first message and the time of your first real reply.
3. Note who on the team replied, if you know.
4. Put it in a spreadsheet and look at the median and the slowest five.

It's rough, and it only shows a sample, but it will tell you quickly whether you have a problem, and at which hours of the day it appears.

## Option 2: a team inbox with reports

A team inbox connects your number once and gives each teammate their own login. Because each reply is sent by a named person, the inbox can measure response times per person and per team without anyone counting.

In HaberChat, the pieces that matter for response times are:

- **Chat assignment and resolve** on every plan, so every chat has an owner and a clear end.
- **Analytics and team reports** on Business and Enterprise, with live graphs of your team's activity and customer response times.
- **Automatic assignment** on Business and Enterprise, which hands new chats to available teammates so nothing sits unclaimed.
- **Availability status**, so teammates who are off shift don't receive new chats.

You connect the regular WhatsApp or WhatsApp Business app by QR code, or use the official Cloud API or coexistence. A QR connection is not an official Meta integration; it's meant for conversations with customers, not bulk sending. If you run several numbers, they can sit in one inbox, as we explain in [how to manage multiple WhatsApp numbers in one inbox](https://haber.chat/blog/manage-multiple-whatsapp-numbers).

## Option 3: build your own log with webhooks

If you already have a data team or a dashboard tool, you can record the timestamps yourself. HaberChat sends a webhook for every incoming message ("message:in:new") and every outgoing message it delivers ("message:out:new"). Send both to a tool such as n8n, Make or your own server, store them by chat, and calculate the gap between each customer message and the next reply.

It's flexible, but you own the maintenance: handling chats that span several days, leaving automated messages out, and matching replies to teammates. The [webhooks guide](https://app.haber.chat/help/webhooks) lists every event and its payload.

## Set a target, then work toward it

There's no universal "good" response time. A clinic booking appointments and a store answering pre-sale questions have different customers and different hours. Start from your own numbers:

- Measure for two weeks without changing anything.
- Set a first-response target for business hours that most of your chats already meet, then tighten it.
- Publish your hours in your WhatsApp business profile and in your away message, so customers know what to expect at night.

## Five ways to reply faster

1. **Acknowledge instantly, answer properly.** A short automatic greeting tells customers they've been seen. Our [25 auto-reply examples](https://haber.chat/blog/whatsapp-auto-reply-examples) include greetings and away messages you can adapt.
2. **Use shared quick replies** for the questions you get every day: prices, hours, delivery times, the booking link.
3. **Route chats to the right person first time.** Automatic assignment, or a simple rule about who covers which hours, cuts out the "who's got this?" delay.
4. **Leave private notes** when you hand a chat over, so the next person doesn't have to scroll back and ask again.
5. **Review the slowest chats weekly.** They usually share a cause: a question nobody owns, an hour nobody covers, or a missing quick reply.

If you're on the official API, speed has a second benefit. A customer message opens a 24-hour window in which you can reply freely. Miss it and you need an approved template to get back in touch. Since October 1, 2026, Meta also charges for each reply inside that window, so answering completely in fewer messages matters too. We explain the change in [WhatsApp Business app vs API](https://haber.chat/blog/whatsapp-business-app-vs-api).

## Frequently asked questions

### Can I see response times in the WhatsApp Business app?

Not per teammate. Every linked device replies as the same business account, so the app can't tell you who answered or how long each customer waited. You need a team inbox with reports, or your own log.

### What's the difference between first response time and average response time?

First response time is how long a customer waits for the first human reply. Average response time covers every reply in the conversation. Track both, and look at the median so one overnight chat doesn't distort the picture.

### Should automatic replies count toward response time?

No. An instant greeting is useful, but it doesn't answer the question. Measure the time to the first reply from a person.

### Does HaberChat track WhatsApp response times?

Yes. Analytics and team reports, including customer response times, are on the Business and Enterprise plans. Chat assignment and resolve are on every plan, so each chat has an owner.
