# [WhatsApp Team Inbox: The Complete Guide (2026)](https://haber.chat/blog/whatsapp-team-inbox)

A WhatsApp team inbox lets several people answer one WhatsApp number from their own computers, with their own logins. Every chat can be assigned to a person, discussed in private notes, labeled and closed when it's done. It's what most teams need once more than two people share a number.

This guide covers what a team inbox does, how it connects to WhatsApp, how to set one up and run it well, and what it costs. Each section links to a deeper guide.

## What a team inbox adds to WhatsApp

The WhatsApp Business app runs one account on a phone plus up to four linked devices. Everyone on those devices sees the same chats and replies as the same account. That works for a small shop. It breaks down when you can't tell who's handling which customer.

A team inbox adds the missing layer:

- **Assignment:** each chat has one owner, so nothing is answered twice or not at all.
- **Private notes:** teammates leave context inside the chat that the customer never sees.
- **Labels and filters:** sort chats by stage, topic or priority.
- **Shared quick replies:** consistent answers to common questions.
- **Resolve:** a clear end to every conversation, and a clean list of what's still open.
- **Reports:** how many chats each person handles and how fast customers get answers.
- **Logins per person:** when someone leaves, you remove their access. The chats and the number stay with the business.

If you're still deciding whether you need one, start with [how to share one WhatsApp Business number with your team](https://haber.chat/blog/share-whatsapp-business-number-with-team), which compares linked devices with a team inbox.

## Signs your team has outgrown the app

- Two people answer the same customer, or each thinks the other did.
- You need a fifth device, and the app only links four.
- Nobody knows how long customers wait for a reply.
- A teammate left and took context, or a phone, with them.
- You run more than one number and switch between apps all day.

## Three ways to connect your number

How a team inbox reaches WhatsApp matters more than any single feature. It sets your costs, your limits and what you can automate.

| QR code | Official Cloud API | Coexistence | |
| --- | --- | --- | --- |
| **How it works** | Links your existing WhatsApp or WhatsApp Business app, like WhatsApp Web does | Registers the number on Meta's API through a provider | Keeps the number in the Business app while also connecting it to the API |
| **Meta message fees** | None | Per message, including replies since October 1, 2026 | App messages free; API messages billed |
| **Setup** | Minutes, no Meta approval | Meta business account and number registration | Business app plus Meta onboarding |
| **Best for** | Conversations with customers and leads | High volume, approved templates, buttons and Flows | Teams that want API features without giving up the app |
| **Watch out for** | Not an official Meta integration; limited sending speed; uses one of the 4 linked-device slots | Templates needed to start chats; per-message costs | The app must stay in use or the connection drops |

## How to set up a team inbox

1. **Choose your connection.** QR code for most small teams, the API if you need volume or templates.
2. **Connect the number.** With a QR code, open WhatsApp on the phone, go to Linked devices and scan the code the inbox shows you.
3. **Invite your team** by email, each with their own login.
4. **Set up the basics:** a few labels, your ten most common quick replies, and a greeting and away message.
5. **Agree the rules** before the first busy day: who takes new chats, when to assign, when to resolve.

If you run more than one number, connect each one and they appear in the same inbox. See [how to manage multiple WhatsApp numbers in one inbox](https://haber.chat/blog/manage-multiple-whatsapp-numbers).

## How to run it well

The software is the easy part. The habits are what make customers feel the difference.

- **One owner per chat.** Assign chats by hand, or turn on automatic assignment so new chats go to whoever is available.
- **Notes on every handover.** A one-line private note saves the next person from asking the customer to repeat themselves.
- **Resolve when it's done.** An inbox full of finished chats hides the ones still waiting.
- **A response-time target.** Measure for two weeks, then set a target you can hold. Our guide on [tracking WhatsApp response times](https://haber.chat/blog/whatsapp-response-time) explains what to measure.
- **Automate the first touch, not the whole chat.** Greetings, away messages and keyword replies buy time. People still answer. Start with our [25 auto-reply examples](https://haber.chat/blog/whatsapp-auto-reply-examples).
- **Respect the platform.** Message people who expect to hear from you and honor opt-outs. WhatsApp restricts numbers that look like spam; if it happens, see [what to do when WhatsApp limits new chats](https://haber.chat/blog/whatsapp-limited-new-chats).

## What it costs

Team inboxes price in one of two ways:

- **Per user:** each teammate needs a seat. Cheap for two people, expensive for ten.
- **Per number:** a set number of teammates is included with each connected number.

On the API you also pay Meta per message. On a QR connection, you don't.

HaberChat prices per number. Checked on October 8, 2026: Professional is $47.40 a month with 3 team members, Business $82.90 with 6, and Enterprise $120.40 with 9, then $18 per extra user. Every plan includes quick replies, private notes, labels, assignment and resolve, scheduled messages, campaigns, the full API and webhooks. Business and Enterprise add the AI assistant, analytics and team reports, and automatic assignment. Team permissions are on Enterprise.

## Choosing a tool

Decide on your connection first, then on pricing model, then on features. ## Frequently asked questions

### What is a WhatsApp team inbox?

A shared workspace where several people answer one or more WhatsApp numbers from their own logins, with chat assignment, private notes, labels, quick replies and reports.

### Do I need the WhatsApp Business API for a team inbox?

No. You can connect the regular WhatsApp Business app by QR code, with no Meta approval and no per-message fees. A QR connection isn't an official Meta integration, so it suits conversations, not bulk campaigns.

### How many people can use one WhatsApp number in a team inbox?

As many as your plan allows. The number itself uses one linked-device slot, and each teammate logs in to the inbox, not to WhatsApp.

### What happens to chats when a teammate leaves?

You remove their login. The chats, notes and the number stay with the business.
